Payroll

Creating a correct and correct pay slip is an important part of a successful company. A company's employees are known to be its greatest asset. Nothing works in the company without them. The employees are essential for the economic success of the company. If a company's employees receive one or more incorrect pay slips, they become dissatisfied. This often affects the work ethic as well as the work performance of the employees and thus to a not inconsiderable extent also on the economic success of a company. Therefore, payroll in the company is of high importance.

The basis of every correct pay slip is the correct and complete recording of personal data. Without complete or incorrect information about employees, a correct pay slip cannot be created. That is why, as a service provider, we attach great importance to the correct recording of employees' personal data, of course, while strictly observing the legal requirements about data protection. It is very important that the employee data relevant to payroll is correctly and completely available to the employee responsible for payroll. In accordance with the Data Protection Act, these are then processed electronically only for a pay slip.

Payroll

The creation of a pay slip does not only mean the stupid and monotonous recording of personal data and its subsequent electronic processing up to the printing and transfer of the pay slip to the employee, but the responsible employee should not forget that he / she is dealing with people has to do that which are essential for the economic success of the company. Therefore, much attention and care must be devoted to payroll in the company.

The preparation of the pay slip starts with the systematic and complete recording of the personal data of all employees in the company. The next step is to register employees with the relevant health insurance company. This can be the employee's statutory health insurance, but private health insurance is also conceivable here, provided the conditions are right. For this step it is imperative that the pension insurance number of the respective employee is available in the personal data. We therefore attach great importance to the completeness of the personnel documents.

The next step is to record the wages and salary data, i.e. the amount of the salary or the hours actually worked. Benefits in kind to employees, bonuses, bonuses, holiday and Christmas bonuses, special allowances, vehicle or other usage agreements between the company and the employee and much more are included. Also times for vacation, illness, maternity leave etc. Absenteeism must be taken into account here. The same applies to agreed surcharges, e.g. Weekend or holiday surcharges. The payroll is created on this basis. To do this, however, it is important to keep a precise record of the hours worked.

In order to make sure that the minimum wage is actually paid for the hours worked, the beginning, end and duration of daily working hours must be recorded by employees. This documentation does not need a special form, but can, such as, be noted by hand on a simple time sheet.

Employers who fail to comply with their recording and documentation requirements under the Minimum Wage Act, do not do it correctly, fully or in time, or do not keep the records for at least two years, may face a fine of up to 30,000 euros. The financial control for undeclared work at the main customs offices checks compliance with the minimum wage law and thus also the obligation to record and keep records. The records are part of the social security pay documents.

It is important that the responsible clerk in the company is informed in good time about an incorrect wage statement by the respective employee so that the wage statement can be corrected. Only a satisfied employee will do well in the company and thereby help it achieve lasting economic success.

This also includes correct payroll accounting and punctual wages and salary payments from the company to the employees. The satisfaction of the employees in the company should come first. Only satisfied employees who feel comfortable in the company and identify with it are motivated and willing to do well for the good of the company and its economic success.

The importance of a correct and punctual pay slip is that it gives the employee the feeling that his work in the company is valued and recognized. After all, the wage or salary is the “reward” for the work performed by the employee in the company.

Furthermore, a wage statement also includes the correct determination of social security contributions. The social security contributions of the employees (employees) and the contributions of the company (employer) are included in these. These social security contributions must be reported and paid to the responsible health insurers for the current month by the third-to-last banking day of the respective month, stating the company number and the contribution period. Otherwise there is a fine.

The determination of the wage tax to be paid by the company for its employees is also part of the wage statement. Income tax is a form of employee advance income tax payment. The company withholds this wage tax from the employee's wages or salaries, knows them on the employee's pay slip and pays them to the responsible tax office at the specified reporting and payment deadline.

Finally, the wage statement also includes the de-registration of the if necessary. retired employee at the responsible health insurance company and at the responsible tax office via ELSTAM. At the end of the year, the report to the trade association is made as part of the payroll. The employer's liability insurance association is an institution that provides financial security for an employee in the event of an accident at work.

The preparation of the pay slip is therefore not just a simple, monotonous, repetitive activity, but it represents a very large responsibility, on the one hand towards the company and its economic future, and on the other hand towards the employee.
